I have a friend who has been doing business on Outlook for over 20 years. Deep folder structures are there of course.
Before, everything was in the local personal folders, until you guessed (the PST file was already at 18GB) just upload everything to your Ionos server. Not only because Outlook sometimes did not start, but was only up-to-date on the PC.
Now there are problems. The synchronizations take forever. 3 devices among each other are not synchronous. Ie. In the same folder are on the phone 3 emails, old laptop 12 emails, new laptop 8 emails, webmail 3 emails.
There are no more personal folders used, so theoretically it would have to sync everything, but it does not… Especially because a sychnronisation takes about 20-30 minutes.
I really want to help her now and I'm not sure what the best option would be. CRM does not want to use it, it is too complicated.

I would first start by archiving old emails, I think they will not get around it.
Recently had a customer with a 20GB mailfile, there were similar problems (but was Notes, no outlook).
If the mailfile is smaller it should work again with the normal speeds, I hardly believe that Exchange would solve that.

Yes, the data does not go away, only an email file is not the right place to back up this data. Apart from the problems, it is not really safe or effective.
